Boston Athenaeum Special Collections Requests FAQ

What should I know before I visit?

What should I know about requesting photographic services?

What is Aeon?

Aeon is automated request and workflow management software specifically designed for special collections libraries and archives. The Boston Athenaeum has chosen Aeon in order to improve access and maximize staff efficiency while providing unparalleled item tracking, security and statistics.

Why do I need a username and password to use Aeon?

By setting up a personalized web account with a username and password, members and researchers can request materials, order reproductions, and track the history of requests and orders. Your username and password allows the Boston Athenaeum to give you secure access to information about your requests. Your username and password are unique to you. The Boston Athenaeum recommends that you choose a password that is different from those you use to access other systems. Do not share your password with others; you are the only one who knows your password. The password you set is stored encrypted.

How long will my account be active?

Your account is active for one year. If you have not updated your account in the past 365 days, you will be asked to update your information the next time you login to your account. You may change or update your account information at any time by clicking on "Preferences" and then clicking either "Change User Information" or "Change Password."

What if I forget my password?

If you forget your password, click on the "Forgot Password" link on the login page. Your password will be reset. An email will be sent to the address you registered when creating your account. Follow the link in that email to reset your password. Remember to change your password once you have accessed your account.

Why does my Aeon session time out?

The Boston Athenaeum Special Collections Appointment is currently set to timeout after 30 minutes of inactivity. Timeouts are necessary due to simultaneous user limits that must be in place in order to assure an acceptable level of system performance.

Is there a limit to the number of requests I can make at one time?

There is a default limit of six items, but that can be increased on a case-by-case basis. You may save additional requests for future submission by selecting the "Keep for My Review" option on the request form.

Can I resubmit an old request?

Yes, if it is a request you have already submitted through Aeon, you can "clone" that request and resubmit it. If it is something that you have not yet requested through Aeon, you will need to request it anew through the online catalog or finding aid.

Who do I contact if I have questions or problems?

If you have any questions or problems, please email readingroom@bostonathenaeum.org or call the reference staff at 617-227-0270 x302

Why does my browser say that you're sending a cookie? What's in it?

The technology that we use sends a Session ID to be stored on your machine. You can refuse this cookie and still be able to use Aeon without any problems.
